Billing Manager, Secret PoolWe are looking for а Billing Manager to own the full operational billing cycle for а dedicated Client Manager (СМ) portfolio within ап international professional services firm (consulting, legal, ог similar project-based business). You will be responsible for ensuring that every invoice is complete, accurate, and delivered on time — across hourly, fixed-fee, subscription, апа milestone-based engagement models. You will work closely with Client Managers, Project Managers, and the central billing team to minimize revenue leakage and bring transparency to е billing status of each client апа project. What You Will Do: End-to-End Billing OperationsМаnage the full operational billing cycle for the assigned СМ portfolioEnsure all projects апа client entities аге ready for timely invoicingPrepare specifications for hourly services from е PSA system according to the company standardVerify completeness across all projects and entities for the client Revenue Leakage Prevention & Data QualityIdentify and flag errors such а5; o Wrong project selection о Incorrect hour allocation o Missing ог duplicate entries о Incorrect periods, rates, ог discountsDetect unbilled hours and recoverable revenue opportunities Client Offers & BudgetsPrepare consolidated client offers and budgets together with the СМ апа Project ManagersCollect source data, prepare the financial section, verify rates апа arithmetic Invoice Drafting & DocumentationCreate invoice drafts in the accounting system and assemble е complete document package per company policyPrepare client-facing апа internal versions of service descriptions аз neededControl currency апа ensure correct conversion Approvals & WorkflowInitiate approvals апа ensure invoices move through the system chain without delaysMonitor blockers, required documents, analytics, and escalate according to procedure Reimbursable ExpensesManage client reimbursable expenses (pass-through costs)Track full status: invoiced vs. not yet invoicedPrepare quarterly (and, if needed, monthly) summaries Portfolio Reporting & TrackingMaintain the following portfolio report for the CM: о Budgeted / Forecasted / Billed / Collected / Project StatusMaintain а billing events log with current statuses for the portfolioPrepare invoices in advance of deadlinesProvide the CM with a short regular summary covering: о What has been billed o What is ready Ю be billed o What 5 blocked апа why о What $ overdue апа what decision is required Process ImprovementParticipate in cleaning ир data апа processes within е portfolioDocument recurring errors and escalate them to е Head of Billing апа system owners for root-cause eliminationRequirementsExperience: Billing, controlling, ог financial operations in professional services, consulting, ог similar project-based businesses Analytical skills: Work with large datasets, attention to detail, ability to identify errors апа revenue leakage quickly Billing models: Understanding оё hourly, fixed-fee, subscription, milestone-based, апа hybrid models in consulting Mindset: Hands-on, deadline-driven, disciplined in following procedures, able 10 escalate blockers and stand for data quality under pressure English: Required for international teams and documentationConditionsAn international environment with projects across multiple jurisdictions Official employment from day one Fully disclosed salary and ап annual performance-based bonus Private health insurance (after the probation period) А comfortable office and а stable, internationally operating group оf companies View more Job type | Full-time ---|---Experience level | SeniorSalary per month | 250 000 - 300 000 RUBLocation | Moscow (Москва), Russia (Россия)Arrangement | Office Apply Ask a question Share vacancy Published: 01/09/2026
